2. Accessing the website and server log files
When you access our website, your browser automatically transmits data to our server. The following is stored in server log files: IP address, date and time of the request, page accessed, amount of data transferred, referrer URL (the page previously visited) as well as browser and operating system.
We need this data to deliver the website and to ensure its security and stability, for example to detect and fend off attacks. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in the secure and error-free operation of the website. The data is not combined with other data sources and is deleted after a short period, unless it is required to investigate a security incident.
The website is operated by a hosting service provider that processes the data on our behalf and in accordance with our instructions (Art. 28 GDPR).
3. Contact by email, phone and WhatsApp
If you contact us by email or phone, we process the information you provide (such as your name, contact details and the content of your enquiry) in order to handle your request. The legal basis is Art. 6(1)(b) GDPR insofar as your enquiry is aimed at a contract, and otherwise Art. 6(1)(f) GDPR (legitimate interest in responding to enquiries).
Our website links to WhatsApp (wa.me). WhatsApp only opens once you click the link; the privacy policy of WhatsApp Ireland Limited, 4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland, then applies. If you message us via WhatsApp, we process your phone number, your profile name and the content of your message in order to handle your enquiry. If you do not wish this, please use email or phone.
4. Enquiry and contact forms
You can use our enquiry and contact forms to request a non-binding quote or to send us a message. In doing so, we process the information you enter:
- Type of enquiry: business or private
- Contact details: name, email address, phone number; for business enquiries also company and, if you provide it, VAT identification number (VAT ID)
- Details of the journey or event, for example service, city, date, time, pick-up location and destination, journeys or duration, number of passengers and items of luggage, vehicle class, flight number, trade fair or Oktoberfest tent
- Your message to us
We need to know whether your enquiry is business or private in order to prepare a quote on the appropriate terms, for example with net or gross prices. For private enquiries, we ask for neither a company nor a VAT ID. Providing the VAT ID is voluntary; the form only checks its format. We use it to issue the quote and invoice to your company.
Your details are transmitted in encrypted form to our enquiry system and stored there. Together with the enquiry, the form transmits the address of the page on which you send it, the page previously visited (referrer) and campaign details from the address (UTM parameters). If you have chosen “Allow statistics” in the cookie banner, your entry page and the pages you viewed during your visit are added (section 6).
Mandatory fields are marked. We use the information to process your enquiry, to prepare a quote for you and to contact you about it. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures); insofar as we need the VAT ID for an invoice under VAT law, also Art. 6(1)(c) GDPR. The legal basis for the page address, referrer and campaign details is Art. 6(1)(f) GDPR; our legitimate interest lies in assigning enquiries to the respective page and measuring the success of our advertising. The legal basis for the entry page and visit path is your consent (Art. 6(1)(a) GDPR).
Address suggestions: When you enter at least three characters in an address field (for example pick-up location or destination), we suggest matching addresses. To do so, our server forwards the characters entered, the language of the page and the city the form refers to to the Google Places service of Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Your browser does not connect to Google in the process; we do not transmit your IP address, cookies or information about your browser. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures) and Art. 6(1)(f) GDPR; our legitimate interest lies in easy entry and complete, unambiguous address details. Google may also process the data in the USA. Transfers to Google LLC are covered by the European Commission’s adequacy decision on the EU-US Data Privacy Framework (Art. 45 GDPR), under which the company is certified. Further information can be found in Google’s privacy policy at policies.google.com/privacy. If you do not wish to use the suggestions, please send us your enquiry by email or phone.
Map and route on the booking page: On our “Book now” page we show the selected pick-up, destination and route on a map. To do so, our server transmits the identifiers and coordinates of the selected places, the map section and the language of the page to the Google Places, Routes and Maps Static services of Google Ireland Limited; our server delivers the map image. Your browser does not connect to Google in the process; we do not transmit your IP address, cookies or information about your browser. The legal basis is Art. 6(1)(b) GDPR (pre-contractual measures) and Art. 6(1)(f) GDPR; our legitimate interest lies in a clear and unambiguous presentation of your route. Regarding processing in the USA, the information on address suggestions applies.
5. Booking journeys
You book fixed-price journeys via our price calculator at booking.rideayden.com. Links from this website only pass on the journey details you have selected (for example type of journey, start, destination, number of passengers) to the price calculator.
When you make a booking, we process the data you provide to us (hereinafter “customer data”):
- Master data (salutation, title, first name, surname, company, address)
- Contact details (e.g. phone number, mobile phone number, email address)
- Journey-related data (e.g. pick-up location, destination, times, flight number, notes for the driver)
- Billing and payment data (e.g. invoices, billing address)
We use the customer data to carry out and invoice your booking. Where necessary, we pass it on to the transport service provider performing the journey so that you are transported in accordance with your booking. Payment data is collected and processed by the respective payment service provider; we do not store credit card data. The legal basis is Art. 6(1)(b) GDPR (performance of a contract). Insofar as you provide voluntary information (e.g. flight number or notes for the driver), the legal basis is additionally Art. 6(1)(f) GDPR.
If a journey takes place outside the European Union or the European Economic Area, personal data may be transferred to the transport service provider in that third country. The transfer is necessary for the performance of the contract (Art. 49(1)(b) and (c) GDPR).
6. Cookie banner, statistics and marketing
On your first visit, a banner asks whether you allow only necessary storage or statistics as well. We store your choice in your browser’s local storage (localStorage) so that the banner does not appear again on every page. This storage is strictly necessary (§ 25(2) no. 2 TDDDG). The legal basis is Art. 6(1)(f) GDPR; our legitimate interest lies in respecting your choice and being able to prove consent. The website itself does not set any cookies.
If you choose “Allow statistics”, we store in your browser’s session storage (sessionStorage), for the duration of your visit, your entry page, the page you came from (referrer), campaign details (UTM parameters) and the pages you view, each with the time (at most the last 20). This information only leaves your browser if you send an enquiry (section 4). The legal basis is your consent (Art. 6(1)(a) GDPR, § 25(1) TDDDG). The session storage is cleared when you close the browser tab or window. You can withdraw your consent at any time with effect for the future via “Cookie settings” in the footer; the stored information is then deleted immediately.
For audience measurement and advertising, we may use Google Tag Manager from Google Ireland Limited. Analytics and marketing services are only activated through it with your consent (Art. 6(1)(a) GDPR, § 25(1) TDDDG). You can also withdraw this consent at any time with effect for the future via “Cookie settings”.
7. Links to other services
Our website contains links to Google Maps (route planning), to Google reviews of our business profile and to WhatsApp. These services are not embedded: data is only transmitted when you click a link. The privacy policy of the respective provider then applies. We load the map on the “Book now” page via our server (see section 4).
The Google reviews displayed on our website are taken from our Google business profile when the website is built. No connection to Google is established for this purpose when you access our pages.
8. Storage period
We store personal data only for as long as is necessary for the respective purpose. We delete enquiries as soon as they have been conclusively processed and no contract is concluded. We retain data from bookings and contracts for as long as statutory retention periods require (generally six to ten years under commercial and tax law), and delete it thereafter.
9. Your rights
You have the following rights vis-à-vis us with regard to your personal data:
- Access (Art. 15 GDPR)
- Rectification (Art. 16 GDPR)
- Erasure (Art. 17 GDPR)
- Restriction of processing (Art. 18 GDPR)
- Data portability (Art. 20 GDPR)
- Withdrawal of consent given, with effect for the future (Art. 7(3) GDPR)
Right to object: Where we process data on the basis of Art. 6(1)(f) GDPR, you may object at any time on grounds relating to your particular situation (Art. 21 GDPR). An informal message to mail@rideayden.com is sufficient.
You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the Bayerisches Landesamt für Datenschutzaufsicht (BayLDA, Bavarian Data Protection Authority), Promenade 18, 91522 Ansbach.
10. Data security
This website uses TLS encryption (HTTPS). You can recognise an encrypted connection by the padlock symbol and by “https://” in your browser’s address bar. We also protect your data by technical and organisational measures against loss, alteration and unauthorised access.
11. Changes to this privacy policy
We will adapt this privacy policy if our website, our services or the legal situation change. The version published here at any given time applies.
